Electronic voting involves far more than simply sending and receiving ballots.

When serving as your Inspector of Election, we aim to support your election through each stage of the electronic voting process - streamlining notifications and balloting, tracking your election schedule and providing real time status updates, communicating with community managers or board members, and simply saving your community time and money.

In addition to sending out and receiving electronic ballots, we utilize our comprehensive electronic voting system to email required notices to members, allow members to update their preference between electronic and paper voting and set their primary email address for voting, automate the candidate nomination process, provide easy-to-follow instructions for accessing and using the voting platform, send voting reminders, count the votes and tabulate the election results. The electronic voting system tracks both electronic and paper ballots within one centralized system, produces election reports, and delivers real-time updates throughout the process while protecting confidentiality by securely separating each Member's identity from their ballot.

We provide full written ballot (paper-based) voting services for members who choose to opt out of electronic voting, as well as for those Homeowner Associations, Owner Associations and Condominium Associations that have not yet completed the process to adopt electronic voting. We also provide election by acclamation service which can be continued on to a full ballot election if needed.

Electronic voting currently is allowed for a Board of Directors election and for a vote to amend governing documents. Electronic voting is not currently allowed for special assessment votes.

Individual Notices

Email individual notices for voter preference updates, candidate nominations, 60-day pre-ballot notices, electronic voting system access, electronic balloting with voting instructions, amendment documents, voting reminders, and reconvened meeting notices.

Provide secure, secret ballot electronic voting with unique voting access for each unit and voting reminder emails to encourage voter participation. Count and tally electronic and written ballots at an open election meeting and provide complete election results.

Elections for common interest developments governed by the Davis–Stirling Act involve several key steps, detailed requirements, and strict deadlines that must be carefully followed. We understand that the procedures for handling elections varies widely among the large number of community managers and Associations within California and our goal is to make the election process easier for you by providing the services your Association requires. Whether you need an inspector of election to fully coordinate an electronic or hybrid vote, or if you’re handling candidate nominations and ballot distribution yourself and simply need an inspector of election to receive the ballots and tally the votes, we can tailor a solution that fits your specific election needs.

Completing the electronic voting process generally requires a minimum of four months and includes multiple interdependent steps that must occur within certain time frames. At the outset of each election, we lock in a timeline to help ensure steps are completed, notices are posted and deadlines are met. Starting with allowing members to update their voting preferences and continuing through electronic balloting and reporting election results, the voting system is designed to be compliant, secure, and easy to use. Even if we are only handling the balloting portion of your election, you still get access to the information you need to efficiently navigate the election process.
